Job Purpose*>
Employee Services Officer will be responsible Support human resources
processes by administering tests; employee welfare, resolution staff members
complaints, grievances, disciplinary matters, employee welfare, recruitment
scheduling appointments; conducting orientation; maintaining records and
information to ensure efficient operation of the office and employees through
a variety of tasks related to the company.
Summary of Key Responsibilities;
> Supervise and manage assigned staff members by managing all aspects of having to coordinate a number of key human resources and administration functions ensuring efficient delivery of service is at the assigned location through the provision of a clear leadership role in supporting development and performance at the assigned location.
> Undertake the recruitment process through the provision of a responsive and efficient end to end service at the assigned location by being proactive in the preparation of the required employment requisitions, job specifications, posting adverts and participating and conducting interviews to select candidates for approved positions so competent high capacity new staff members join the Company.
> Ensure to administer appointments, placements, promotions and confirmations of staff members at the assigned location
> Organise and conduct induction training sessions for all new employees as well as management of staff exits ensuring to manage orientation, onboarding and training programs including explaining and providing information on employee benefits and other applicable conditions of service.
> Responsible for preparing payroll data on e.g. staff changes, exits, absences, confirmation of hours worked, salary and job titles changes ensuring to review, update or upgrades where necessary and that such information is submitted in a timely manner.
> Ensure that all staff members are issued with payslips on a monthly basis.
> Manage employment contracts start and end dates ensuring processing renewals and non-renewals as per due effective date.
> Ensure accurate and timely Human Resources reports and database update
> Administer all the assigned staff members Workers Compensation Scheme accounts ensuring to update on a regular basis.
> Ensure that the Company complies with all the applicable staff injuries rules and regulations ensuring to report staff injuries as per set timeline and that claims are followed and the affected staff members provided with an updated status of their applicable claims made thereto
> Ensures proper tracking and administration of the leave management system at the assigned location ensuring that staff members accrued leave days are maintained at the required levels at all times.
> Work closely with the salaries and payroll office to ensure workforce information at the assigned location is kept up to date, any problems identified are addressed accurately. Ensure to issue payroll instructions to meet payroll deadlines.
> Assist to process and calculate final salary payments for leavers ensuring that the requisite full and final settlement letters to be issued to affected staff members as per set timeline for closure purposes.
> Ensure that all employees at the assigned location have performance contracts that are periodically reviewed.
> Be part of the team that validates monthly payroll administration to include salary change, deductions, calculating final salary payment for leavers ensuring closure, updating data on the payroll system, administration and tracking of leave for all staff members.
> Manage the assigned location organisational structure ensuring to update the same on a regular basis.
> Maintain employee attendance records according to the Company’s policy and procedures
> Process the requisite payment requisitions related to Human Resources for service providers, staff benefits and other entitlements ensuring the same are settled as per set timeline
> Handle incidents and accident cases, allegations of misconduct cases of underperformance and indiscipline or breach of policy and procedures from staff and departmental and advise the best solution in line with the HR policy and procedures ensuring to institute investigations to look into reported cases ensuring to draw terms of reference for the same.
Qualifications and Experience
> Advanced Diploma in Human Resource Management
> A degree in Human Resource Management will be a plus
> 4 -5 years’ previous experience in such a similar role and with demonstrated supervisory and leadership skills.
> Must have worked for a manufacturing or FMCG sector
> 2-3 years HR working experience with a Food Manufacturing Company will be a plus. *>
> Must be a member of ZIHRM
