Kids Alive International KAI is seeking to employ a fully qualified and
experienced individual, who is sober minded, mature, God fearing with
demonstrated all round skills to fill up the position of EXECUTIVE ASSISTANT
to the Regional Vice PresidentRVP Africa and Middle East. The post holder
will be based in Lusaka, Zambia.
Purpose of the role
The Executive Assistant will perform a wide range of administrative and
executive support functions under the direct supervision of the RVP Africa and
Middle East. The ideal candidate is highly self-motivated, professional, and
capable of managing their workload and prioritizing tasks in a fast paced
nonprofit environment.
Key Job Responsibilities
· Act as the administrative point of contact between the RVP and
internal/external demands
· Responsible for external liaison, advocacy, public relations, and protocol.
· Maintains manual and electronic databases of administrative/ project and
donor records
· Ensure effective and efficient management of human resources, communication
and processing of confidential documents
· Facilitate in country and regional donor linkages and interactions
· Provide administrative /secretarial/logistics support during meetings and
workshops
· Handles the RVPs requests and queries promptly and appropriately
· Conserve the RVP’s time by reading, researching, and routing correspondence,
drafting letters and documents, collecting and analyzing information,
initiating communications
· Maintain RVPs’ appointment schedule by planning and scheduling meetings,
conferences, teleconferences, and travel
· Manage communications and logistics for hosting international guests,
including donors and high profiles visitors to the region
· Prepare reports by collecting and analyzing information; provide support for
preparation of summaries for reports to KAI, for use in discussion with
governments and other organizations
· Responsible for management and organizing of various types of
internal/external events such as meetings, workshops and conferences
· Knowledge of Dove Payroll to manage payroll inputs and final payroll for a
considerable number of staff
· Provide project expenditure monitoring support to the Director
· Provide historical reference by developing and utilizing filing and
retrieval systems
· Maintain office supplies inventory by checking stock to determine inventory
level, anticipating needed supplies, evaluating new office products, placing
and expediting orders for supplies, verifying receipts of supplies
· Maintain orderliness of the office
· Ensures operation of equipment by completing preventive maintenance
requirements, following manufacturer’s instructions, troubleshooting
malfunctions, calling for repairs, maintaining equipment, inventories,
evaluating new equipment techniques
· Perform all other related duties that may be assigned from time to time by
the RVP

· A practicing Christian with a personal faith in Jesus Christ
· Agrees fully with KAI’s mission, vision, values and statement of faith
· A compassionate heart for serving children-at-risk and staff/missionaries
· Familiarity with the Bible and with Christian theology, faith and practice
· A person of integrity who can present strong character and employment
references and pass a criminal background check
Qualifications, Experience and Skills
· Advanced Diploma in Business Administration, Office Management. Additional
qualifications in financial management, human resource or as Personal
Assistant or Secretary are a plus
· Minimum 5 years’ experience as an Executive Assistant to Senior Management
· Advanced Microsoft Office skills, with an ability to become familiar with
organization specific programs and software
· Strong communication skills written and verbal
· Experience in financial and human resource management an added advantage
· Proficiency in collaboration and delegation of duties
· Experience in setting up an executive office from inception highly desirable
· Strong organization, schedule management, project management, and problem
solving skills with impeccable multi-tasking skills
· Experience exercising discretion and confidentiality with sensitive company
information
· Exceptional interpersonal skills
· Friendly and professional demeanor
