1) Position Project Finance Officer
Programme TRALARD
Responsible To Head of Finance and Administration
Location Kasama
1\. Purpose
The Project Finance Officer will serve as an integral member of TRALARD
program team. The PA will be responsible for the smooth operations of the
programme finances, administrations and provision of effective financial
management and accounting services at field level. The PFO will be required to
provide financial technical support and trainings to the project groups. The
PFO will work in full compliance with all applicable SHA and donor rules and;
country regulations.
2\. Responsibilities and Accountabilities
> Overseeing disbursement of funds for local expenditures and personnel; oversees the transaction clearance process to ensure compliance with accounting procedures, policies and regulations; oversees that transactions are in line with budgets and ensures documents are complete and accurate,
> Review imprest reimbursement claims and employees expense reports,
> Ensure funding is available and funding requests submitted to Country Office,
> Ensure monthly and quarterly budget expenditure reports shared with the program management team on time i.e. to manage the budget tracking system at the field office,
> Supervise the maintenance of the Petty Cash Accounts,
> Generate financial monthly, quarterly and yearly reports and timely submission of accurate field accounts to country office in accordance with policies and procedures prescribed in financial management manual-this includes preparing of bank and general ledger accounts and reconciliations,
> Ensure proper filling and custody of support documentation.
Operational Management
> Ensure partner reports are completed in accordance with deadlines and undertake report editing and review where necessary,
> Be in charge of procurements and supervise stores/ warehousing
> Be in charge general office maintenance
Safety and Security
> Ensure all safety or security incidents (fires, vehicle accidents, theft, etc.) are appropriately recorded and reported by project staff to relevant parties,
> Actively monitor field site safety and security and advise the CD and PC about new developments.
3\. Key relationships
> Country Director, Programme Coordinator and Head of Finance and Administration (HoFA)
> SHA Senior Management Team,
> External stakeholders, government departments, banks, external auditors, donor auditors,

5\. Required Relevant Experience
> Full ZICA, final stage ACCA, final stage CIMA or equivalent qualification,
> At least 3 years’ experience working with NGOs in development works,

2) Job Title M &E Officer – TRALARD

Purpose Self Help Africa works with smallholder farmers in 9 countries in
Sub-Saharan Africa to increase production and productivity, achieve better
returns on investment and provide sufficient quantities and quality of food
for their families to have a nutritious diet.
The M&E Officer works as part of the Monitoring and Evaluation (M&E) Team to
support the development of monitoring and evaluation systems in all technical
areas of SHA’s development work.
The role will focus on implementation of our organisational M&E approach on
the TRALARD project.
You will train our staff and partners in the use of our assessment tools and
supervise data collection when needed.
You are responsible for the implementation of the M&E processes on the TALARD
project. This includes the whole M&E cycle from M&E plans, logframes & Theory
of Change through process preparation, training, data collection, analysing
data and writing reports all in a timely manner to ensure that findings and
recommendations can be integrated accordingly.
As a member of the M&E Team you will coordinate with other members of the team
to ensure integrated M&E approaches throughout the organisation.
You will document and share learning across the organisation.
This role involves a significant amount of travelling in Zambia.
Key Responsibilities
Lead on M&E plans which includes
1\. Planning of resources (human & financial)
2\. Theory of Change and logframes
3\. Creation of M&E tools when new indicators are used (Kobo toolbox/
Filemaker Go)
> Support and train staff (partners) in data collection using handhelds
> Lead on Livelihood zoning and Wealth ranking excercises.
> Support improvement of monitoring and evaluation processes across the organisation which includes participatory M&E approaches and integrating feedback to our staff, partners and project participants.
> Supervises all beneficiary data bases in Zambia and ensures that the M&E reporting template is up to date.
> You will support the Head of Programme in Zambia with quarterly and annual reports through delivering of updated M&E figures.
> Assist Project Managers in developing indicator tracking tools to capture quantitative and qualitative data for project performance indicators. Ensure that processes are in place to allow for systematic and inclusive feedback to communities and stakeholders on all programme reports and evaluations undertaken
> Lead on Mid Term Reviews, and writes ToRs for baselines, endlines and evaluations. Lead on the selection of consultants for M&E.
> Contribute to ensuring that key learnings are integrated into the projects and across the organisation.
> Organise learning workshops in Zambia to discuss findings, improvements and observations of the M&E work.
> Work together with the other members of the M&E team and technical advisors on improving technical excellence and impact of all Self Help Africa programmes.
> Advise on log-frames and theories of change in new project proposals for Zambia.
> Any reasonable duty may be assigned that is consistent with the job and its level of responsibility.

Qualifications/Other Requirements Essential
> Proven data collection experience in Rural settings preferable in Africa/Zambia
> Excellent ICT skills in data analysing using MS excel
> Degree or equivalent experience in international development.
> Working knowledge of MS Office including MS Word, MS Excel and MS Powerpoint.
> Proven experience in training and capacity building in M&E practices
> Expertise in designing data collection tools, sampling methodologies.
> Experience of database management (Salesforce preferable).
> Commitment to the vision and values of GSHA.
Preferable
> IHM & HEA experience
> Experience with data analysing systems like SPSS, SAS. STATA, etc.

3) Position Driver
Programme TRALARD Project
Responsible To Team Leader
Location Kasama
1\. Purpose
The Driver will serve as an integral member of TRALARD program field team. The
Driver will be responsible for driving of project vehicles and offer basic
mechanic services at field level. The Driver will be required to be staff that
will work with Smart, Honest, Diligent and be team player. The Driver will
work in full compliance with all applicable SHA and donor rules and; country
regulations.
2\. Responsibilities and Accountabilities
> Drive project vehicles ensuring the safety of passengers and vehicles
> Cleaning and providing routine maintenance to project vehicles
> Perform administrative/ logistics tasks, purchases, delivering mails, collecting items etc
> Assist in arranging logistics for visitors to the programme
> Promptly reporting any malfunction, defects or accidents to vehicles
> Ensuring general security of the vehicle when in operation, such as looking doors and windows when parked, avoiding unsafe places.
> Any other assignment given by the supervisor
